What having several locations means in Lera
Picture a dental clinic with three practices. Each has its own phone, its own front desk, its own opening hours and its own dentists. Someone calling the north practice wants an appointment there, not across town.
In Lera, each location can have its own project. A project is a separate space inside your account, like one filing cabinet per practice. It holds that location's agents, numbers, team, call history, analytics and knowledge base, which is the practice's information the agent looks up to answer, such as its treatments or how to get there.
What stays together is payment. All three projects hang off the same account and use the same balance. You pay in one place and each practice gets on with its own work.
How to create a project for each location
At the top of the left-hand menu is the project switcher, showing the name of the project you are in. Open it and you see Your projects. Your account's own project is labelled Main.
Click Create project. The panel tells you what it is, "Another space for your company, with its own agents, numbers and team. It uses your account balance." Type the location's name, for example North Clinic, and click Create project again.
The panel takes you into the new project, which starts with no agents and no numbers. There you create its agent the way you created the first one, or you ask Maite, the panel's assistant, who always works in the project you are in.
To move between locations, open the switcher and click the one you want. Everything you see switches to that project. Creating projects is done by an Administrator of the main project.
Taking an agent from one location to another
If the first practice's agent already works well, there is no need to start from scratch. Open it, click the three-dot menu next to Publish and choose Export. A file with the agent is downloaded.
Switch to the new location's project, go to Agents, open the three-dot menu and click Import agent. It arrives as an unpublished draft.
Before you publish it, the panel tells you what to check. The phone numbers it hands calls to do not travel in the file, so another practice's front desk never rings by mistake, which means you add this location's. If it used a knowledge base that does not exist here, the panel removes it and tells you. Exporting and importing can be done by an Administrator or an Editor.
Connecting each location's phone
Each practice keeps its usual number. You forward it to an inbound line, a Lera number the panel gives you on the spot, where that location's agent answers. Forwarding means asking your phone provider to send the calls that reach your number on to another one, like diverting the landline to your mobile.
An Administrator does it in Phone numbers, inside each location's project. Under Which agent answers? pick that practice's agent.
Your first inbound line is included, and it is one per account, not per project. The second location's is an Additional line, with a monthly fee taken from your balance. The panel shows you how much on the button itself, and if you release the line it stops being charged. While you are on the free trial credit, you need to top up your balance to add it.
If a practice's number is already with an internet phone provider or on a PBX, you can connect it directly with Connect your VoIP number or From your PBX (SIP). That way there is no forwarding and no additional line.
Each location's team
Every project has its own team. The receptionist at the north practice signs in to her project and sees her calls, not the south's.
Whoever creates a project joins it as Administrator. Everyone else you invite from inside that project, in Settings, Team, with their role, which is the permission you give them. A Viewer sees the calls without changing anything, an Editor creates and fine-tunes the agents, and an Administrator can do everything in that project.
The same person can belong to several projects, with a different role in each. The practice director can be Administrator in all three and a hygienist a Viewer in hers only. Each person sees in the switcher only the projects they belong to.
The main project's team does not join new projects automatically. Invite whoever needs to be in each location.
What the locations share and what they don't
Each project keeps its own agents, numbers, Call history, Analytics, Knowledge base, Integrations and team. If a practice books appointments in its own Cal.com calendar, it connects it in its project.
The whole account shares the balance and billing. On a plan it also shares the included minutes and messages, so a call at any location draws from the same pool.
Simultaneous calls are shared too, meaning the conversations your account can carry at the same moment. The ceiling belongs to the account, not to each location, so if the south practice has several calls live, the north gets what is left. On the Advanced plan that is 15 for the whole account.
Balance, plan and invoices are handled from the main project. If you open Billing in a location's project, the panel tells you billing for that project is managed in your account. In the main one, Settings, Usage shows spending for all locations together, call by call and with the agent that took each one. That is why it helps to put each practice's name in its agent's name.
When one project per location makes sense
A project per location fits when each practice has its own team that has no reason to see the others' calls. If the same team runs everything, you can also keep a single project with one agent per location, each with its own line, and see every call in the same history.
On a plan, several locations come with Advanced, and on another plan the panel tells you so when you click Create project. On pay as you go, which is how partners and contract accounts pay, it is included. And while you are trying Lera, before you pick a plan, you get the whole product, projects included.
If what you do is sell agents to other businesses, what you need is a partner account, where each project is one of your clients.
Frequently asked questions
Can each location have its own number? Yes. Each one forwards its own to its inbound line, or connects it directly if it is with an internet phone provider or on a PBX.
Do I pay for each location separately? No. They all use the same account balance and, on a plan, draw from the same included minutes.
Can one location's team see the others' calls? No, unless you invite them to those projects too. Each project has its own team and its own history.
Can I copy one location's agent to another? Yes. You export it from its page, import it into the other project and, before publishing, add that location's phone numbers.
Can I delete a location? Yes, from the switcher, with the bin icon next to its project and by typing its name. Its agents, numbers, calls and team are deleted, and it cannot be undone. The main project cannot be deleted, because it is the account.
How much does it cost to try? €20 free credit, no card needed. Create a project for a second location and test its agent before you connect its phone.
